Membership Policies and procedures: A $20 refundable deposit is required to get a SEAS National Library membership. The deposit is refundable any time you wish to cancel your membership upon submission of a Membership application with the appropriate section filled out requesting a refund. To check out a book or electronic media, fill in the form requesting the item (only one item can be checked out at a time), and submit it to the Librarian. He/She will contact you with availability. The member will be responsible for shipping costs back to the library. The item can be checked out for a maximum of 3 weeks, calculated based on postage date to postage date (sent date to borrower, and sent date back to library). Items borrowed that are delinquent will cost the member his/her $20 membership deposit and will prevent them from borrowing future items or becoming a member of the library in the future. _________________________________________________________________________________________ Librarian Policies and procedures: The Librarian will have access to a password secured section of the National web site where the library members will be listed. The secure site will also include a list of "deadbeat" members who have forfeited their $20 deposit due to a delinquent account and can never check out an item from this library again. If a member does not return the item within the allotted 3 week period, the Librarian is required to send a reminder notice giving the member a 2 week grace period. If the item is still not received after the 2 week period, the Librarian will notify the National treasurer to move the member’s money from the Library deposits account, to the National Library working account. Said money can be used as needed to pay for postage or additional library items. The Librarian will submit a check request to National for reimbursement, when the total outlay of postage money exceeds $10.00. The Librarian will notify the webmaster when a member becomes delinquent so the secure web site can be updated to reflect the name of the delinquent member. ________________________________________________________________________________________ National Treasurer Policies and procedures: The treasurer will establish 2 new accounts on the National books. One account to track deposits held by National for members. This is a Liability account. This will track the money members pay to become library members. The other account is a library working capital account. This account will receive money from the Liability account if a member forfeits his/her membership right due to delinquent items. The account can also receive money if a member donates his/her $20 to National by canceling his/her membership to the library and not requesting a refund of their deposit. Finally, the account can be funded if National allots money to the account from its budget for working capital. The treasurer will be notified by the Librarian if and when a member’s deposit should be transferred to the working capital account. The Treasurer will maintain a hard copy of the member’s application for recordkeeping, and will forward a copy to the webmaster so the secure web site can be updated to reflect the name of the new member. |
